How to use this

  1. Set how many tables you have and how many seats each one holds.
  2. Paste your guest list, one name per line. You can add a group after a | (for example Dana Reyes | Reyes family), and flag children or guests who need accessible seating.
  3. Add rules if you have any: who must sit together, who must be kept apart, and who is assigned to a particular table.
  4. Choose Arrange automatically. If something can’t be satisfied, the tool lists who it couldn’t seat and why.
  5. Fine-tune by dragging guests between tables. You’ll be told straight away if a move breaks one of your rules.
  6. Download an image or PDF, print it, or save a backup file.

Assumptions & limits

Every table has the same number of seats, and a child counts as half a seat. The arrangement is a starting point built from the rules you enter — it doesn’t know anything about your guests beyond what you tell it, so skim the result before you print it. It doesn’t draw a floor plan, assign individual chairs within a table, or share a chart between people.

FAQ

Does it arrange the seating for me?

Yes. Add your guests and any rules, then choose Arrange automatically. It places everyone so that every rule is met, keeps people in the same group together where it can, and spreads guests evenly across tables. You can then drag guests to other tables (or tap a guest and pick a table on a phone).

What happens if my rules contradict each other?

The tool doesn’t guess. It seats everyone it can, leaves the rest in a Not seated yet list, and tells you which guests it couldn’t place and why — for example that two people are set to sit both together and apart, or that no table has room once the other rules are applied. You can then relax a rule, add seats, or place those guests by hand.

What do the rules mean?

Sit together keeps two guests at one table (chain several to keep a whole family together, or use Keep a whole group together after giving those guests the same group name). Keep apart puts two guests at different tables. Seat at a specific table fixes one guest to a table, such as a head table. Mark a table Accessible and any guest flagged as needing accessible seating is only placed at accessible tables.

How are children counted?

A guest marked as a child takes half a seat, so two children share one seat’s worth of room. If you’d rather give a child a full seat, leave that box unticked.

Is my guest list uploaded anywhere?

No. Your names, rules and seating are processed in your browser and saved only in your browser’s local storage. Nothing is sent to a server. Because clearing your browser data would erase it, use Save backup file to keep a copy or move it to another device.

Can I use the guest list I already made?

If you’ve used our Wedding Guest List Planner in this browser, an import button appears. It brings in your guests (skipping anyone who declined) and seats each plus-one with the guest who invited them. You can also paste a list straight from a spreadsheet.

How do I get it into a file for the venue or the family chat?

Use Download image (PNG) for a picture you can send in a group chat, Download PDF for a printable copy, or Print. The exports show each table with its guests; accessible tables and children are marked.
